Function overview
You can create an event on Lark Calendar and invite related participants. Alternatively, you can send an invitation to the event participants and remind them to join the session as scheduled.
Procedure
- 1.Create an event
Method 1: Create an event in the Calendar view
Open Lark Calendar, and click + in the lower-right corner to create an event. Alternatively, you can click a date to create an event.
Method 2: Create an event in a conversation
You can directly create an event in your private or group chat. For detailed procedures, see Calendar | Schedule meetings through chats.
- 2.Edit event information
On the Edit Event page, you can fill in the event information such as subject, time and location. You can also set a recurring rule for your event by selecting a recurring cycle.
- 3.Add event participants
On the event editing page, search for contacts, groups or email addresses of the members you'd like to invite, and then add them.
Note: Apart from internal members, you can also search for the names or email addresses of external contacts or groups that contain external contacts to invite them to an event. Once an external member is added to the event, the event will become an external one, carrying an "External" tag on top.
After you’ve added participants, you can check their availability in the pane on the right side to identify a suitable time slot for all participants.
Note: If participant availability isn't shown in the pane on the right side, click the eye icon to display it.
You can also grant event-related permissions to participants. If you don't want participants to invite other members to the event, uncheck the Invite others option. Likewise, you can also allow participants to Modify event or See guest list. If a member isn't required to participate, you can mark the member as Optional.
- 4.Add a room or attachment
If you want to reserve a physical meeting room for your event, click Add rooms. If you have files to share with participants for that event, click Add attachment to upload documents as needed.
- 5.Send an event invitation
After you've edited the event details, click the Save button and a pop-up window will appear, asking whether you want to send an event invitation to participants.
- •If you click Send, the Calendar Assistant will send an event invitation to participants.
- •If you click Don't send, participants can only discover this event invitation on their Calendar.
- 6.Check whether participants have accepted the invitation
After you've sent the event invitation, go back to Calendar and click the event you just created. In Calendar Details, you can check whether participants have accepted or declined your invitation.
If you want to get notified when someone declines your invitation, go to profile photo - Settings - Calendar, and check the Notify me when someone declines my invitation option. This way, you will receive a notification from the Calendar Assistant.
