Administrators can set up approval processes for meeting rooms set aside for special purposes on the admin console. When team members need to use these rooms, they can submit approval requests in Calendar. Once the request is approved, the room will be reserved.
- 1.Select the meeting room to configure
Go to meeting room settings in the admin console. Choose a meeting room, click ⋮ on the right of the meeting room name, and select View details to enter the meeting room settings page.
- 2.Turn on the reservation approval switch
Select Reservation approval on the left and turn on the corresponding toggle switch.
- 3.Add meeting room approvers
After turning it on, you must add one or multiple approvers for this meeting room. A reservation request for this room will succeed when any of the approvers approves the request.
Once the action is successful
Once set successfully, the name of the meeting room will be tagged with the Approval label.
To reserve the room, members must fill out a request and send it to the corresponding approvers.
After a member initiates a meeting room approval request, the approvers will receive an approval notification. They can click the card to view the request details.
The requester will be notified once approvers entertain the request. If approved, the room will be reserved successfully. If rejected, the room will remain available for others to reserve.
If multiple members apply to reserve the same meeting room for the same period of time, once one request is approved, the other requests will be automatically rejected.
