Function overview
You can set different kinds of permissions for docs, including but not limited to viewing, editing and sharing permissions. You can also copy content, duplicate docs, print or export docs, and share the doc as an image.
Manage permissions for docs
About permission settings
To check permission settings of a doc, click the Share button in the upper right corner and choose the Settings button in the bottom right.
Comment
- •Who can comment: Allows you to specify who can leave comments.
Sharing
- •Allow this doc to be shared externally: Allows you to invite external users or copy sharing link for them to access.
- •Who can invite and manage collaborators: Allows you to specify who can invite others to work on docs. Users with this permission can add or remove collaborators.
Security
- •Who can have these permissions (copy, duplicate, print, export or share the file as an image): Allows you to specify who can make changes to or export docs.
Note: Users without Security permissions will not be able to copy, duplicate, print, export or share the file as an image.
FAQs
Q: Who can change a doc's permission settings?
A: Only the owner of the doc can change its permission settings.
Q: Why can't I set a doc as Allow this document to be shared externally?
A: To share docs with external users, make sure your company administrator has enabled Allow documents to be shared externally, or none of the Docs, Sheets, or files under your account can be shared with external users.
