Feature overview
Company administrators can synchronize all employee's Exchange Calendar data with Lark Calendar. Once synchronized, employees can view and edit their Exchange Calendar on Lark, modifying existing events or creating new ones. All changes will be synced to their Exchange Calendar, and all changes made in Exchange Calendar will be synced to Lark as well.
Note: This feature is not available for tenants on private clouds.
Procedures
- 1.Add Employee Email Information
Before you import Exchange account information, please go to Lark Admin - Organization - Member and Department and add employees’ Lark email account information, which should be consistent with the Exchange account information, to trigger automatch. You can add account information one by one, or click Batch Import/Export to update employees’ email account information in a unified manner.
If you want to modify the information of a specific employee, click Add Members and enter the employee’s email address. Alternatively, you can complete the email information on the details page of an added employee.
- 2.Configure administrator account
Go to Admin - Settings - Data Migration - Exchange Calendar sync.
Fill in the information about the server and administrator account. Once the administrator account gets verified, you can start importing Exchange accounts.
Note: Administrator needs to set up Application Impersonation first. The impersonation will be effective 30min after setting up.
- 3.Upload Exchange accounts
After being verified, you can click on Import Migration Account, or directly drag the excel file to the area to upload it. Once uploaded, click Next to check account match.
- 4.Check account match
The system will automatically match the imported Exchange account with Lark email address account. The match result will be displayed. You can also edit the auto-matched Lark account info, or manually match a Lark account to an Exchange account. Click Next to start importing.
- 5.Import Exchange Calendar
On the page, you can see data details and progress of the current import. When all Exchange accounts and calendars are successfully imported, a notification will tell you how long it takes to import all related events, which will continue to operate in the background.
If you need to import more accounts, click on Import More to return to the import page.
Click on Download import details to view the list of imported accounts and calendar info.
- 6.Delete or add administrator account
When imported the Exchange Calendar, you can see the connected administrator account on the Migration Configuration page. You can select to disconnect, view account details or delete the account.
- •Disconnect: Once disconnected, Exchange Calendar will stop displaying on Lark Calendar. You can reconnect it when needed.
- •View details: Click to view account match details. You can also edit matched Lark account info.
- •Delete connection: Once deleted, Exchange Calendar will no longer display on Lark Calendar. You can't reconnect.
You can also click on Add New Account to add new administrator account.
After successful sync
After the administrator completes the steps above and sync calendars successfully, employees will see their Exchange Calendar accounts on Lark Calendar sidebar, and they can directly check Exchange event details including guests, locations and meeting rooms. Employees can also edit or create new Exchange events in Lark. All updated information will be synced to the respective Exchange Calendar, and vice versa.
FAQ
Q: Will all events in Lark Calendar be synced to Exchange Calendar?
A: No. Event information will be synced to Exchange Calendar only when an employee creates or edits the event in their Lark Exchange Calendar account. Events created in Lark account won't be synced to Exchange Calendar.
Q: If I set the email administrator account to “administrator”, will it cause a failure in administrator account name and password verification?
A: Duplication of account name may lead to a verification failure. You can create an administrator account not named “administrator” in Exchange email configuration and log in using the account. Make sure the new administrator account is granted the permission for impersonation. For detailed procedure, see Configure administrator account.
Q: I failed to import some members’ calendars. For example, the import progress was always 99%. How can I view the cause for the import failure?
A: As a company administrator, you can download Exchange accounts with import errors and Download Import Details on the import page to view import details and the causes for failures.
Q: After I changed the administrator account and imported user calendars, why did the system prompt that the user calendars had been imported?
A: As a company administrator, you need to remove the link to the original administrator account first to remove the imported calendars. Then you can use the link to the new administrator account to re-import the calendars of all members.
