When a meeting room is for the exclusive reservation of certain departments or members, administrators can set the meeting room reservation scope so only certain members can reserve it.
Then, members within reservation permissions can open their calendar to search for and reserve the meeting room. Members outside of the scope won't be able to find this meeting room.
Method 1: Set a single meeting room
Go to the Meeting rooms settings tab in the Admin console. Find a meeting room, click ⋮ on the right of the meeting room name, and select View details to go to the meeting room settings page.
Method 2: Set meeting rooms in batches
Administrators can also set the reservation scope for multiple meeting rooms by enterprise, country, city, building, floor, and other information.
For example, administrators can select "Beijing" in the meeting room management list and click Settings on the right, and set the reservation scope for all meeting rooms in Beijing.
Select Reservation scope restrictions on the left. By default, meeting rooms can be reserved by all members. To change the scope, click Configure on the right side of "Members who can make reservations" and select Some Members on the next page.
To add members to the reservation scope, administrators can search for individual members by name, email, or mobile phone number, or they can directly check a department to grant reservation permissions. Select the relevant members or departments and click Confirm.
- 3.Once the reservation scope is set
After the reservation scope comes into effect, only members within the scope can search for and reserve the meeting room on their Calendar. Members outside of the scope can't find or view the meeting room or subscribe to its calendar.
Also, if a member outside the scope had reserved the meeting room before the reservation scope came into effect, such reservation won't be affected. Yet, if this member had previously subscribed to the calendar of the meeting room, the system will automatically unsubscribe them.
- 4.Modify or cancel the reservation scope
After setting a reservation scope, the departments or members within the scope will be displayed under Members who can make reservations.
- •At any time, administrators can click Configure to modify the reservation scope.
- •To lift the reservation scope restrictions, administrators can click Configure and then select All Members on the next page.
