To improve the efficiency of meeting room usage, administrators can set reclaiming rules for meeting rooms. Then, if participants don’t arrive for a scheduled meeting, the meeting room will be released and can be reserved by others.
Note: The meeting room reclaiming feature and QR code check-in feature can't be activated at the same time.
- 1.Select the desired meeting rooms
Method 1: Configure a single meeting room
Go to the meeting room settings page in admin. Find the meeting room to configure, click the ⋮ icon to the right of the meeting room name, and select View details to enter the meeting room settings page.
Method 2: Batch configure meeting rooms
Administrators can activate the reclaiming feature for multiple meeting rooms based on company, country, city, building, floor, or other attributes.
For example, administrators can select Beijing in the meeting room management list and click Settings to the right of Beijing to go to the meeting room settings page.
- 2.Set room reclaiming rules
On the Basic Info page, click Meeting room check-in and reclaiming on the left, and activate QR code reclaiming.
In the pop-up window, set the rules for reclaiming rooms. Then, you can click Download all QR codes to download the room reclaiming QR codes.
After the action is successful
Administrators can print out the room reclaiming QR codes and post them in convenient locations in the respective meeting rooms. If no one checks in to a meeting room for a scheduled event, other members can scan the QR code to reclaim the meeting room.
Can I activate the meeting room reclaiming feature and the QR code check-in feature at the same time?
No. The meeting room reclaiming and QR code check-in feature can't be activated at the same time. When the reclaiming feature is activated, the QR code check-in feature is deactivated by default.
