When creating a report rule, you must add relevant members to the rule from these four categories: Report to, Reporter, CC recipients, and Rule managers.
Go to Workplace > Report > Manage > + New Rule, and click Create New Rule in the upper-right corner. Then, scroll down to Members and add the relevant members.
Add those who must fill out the report here. Click the + button and select Departments and members, Existing group chats, or Import to add reporters.
Note: Once a group chat is added, the report bot will automatically sync changes of members.
To add reporters via a list, click Import and Download import template. Fill it out with the email address of each reporter, click Upload File, select the file you edited and click Import.
Report to (required)
Add those to whom the report needs to be submitted here. Click the + button and select Direct manager, Members, Existing group chats or Heads of departments to add report receivers.
Note: You can add multiple people at the same time.
Add the member to whom the report needs to be copied here. Click the + button and select Departments and members or Existing group chats to add members.
Note: If you add a group chat, the report will be forwarded to the group chats by the report bot automatically.
Rule managers (required)
Add those who can manage this rule here. Rule manager can edit or delete the report rule and will receive report submission statistics. Click the + button to add rule managers.
By default, the system adds the Owner (creator) of the rule as a rule manager. While rule owners can view and export statistics, other rule managers can only view statistics. Rule owners can transfer ownership to another person by clicking Set as the owner, and then OK.
A rule manager can add new managers, remove other managers, and give up their own manager roles. To remove a manager, select the click on the member and then Delete.
III. Appendix: Role and permissions table
The following table explains the different roles and their corresponding permissions:
Can I have multiple roles?
You may hold permissions from multiple roles at the same time, as in the examples below:
- •If I am the rule owner and a person copied to: You can view submission statistics of all members and send reminders to them. You can also view and export all reports copied to you.
- •If I am the rule owner and a direct manager who receives reports: You can view submission statistics of all members and send reminders to them. However, you can only view and export reports from your direct subordinates.
